ONT-TAXS online Quick Reference Guide

ONT-TAXS online is Ontario's secure, convenient and free online tax service for businesses. It saves you time and money, reduces paper and is available 24 hours a day, 7 days a week.

Getting Started

  1. Complete our online form at www.ontario.ca/finance by clicking on “Get Started” or call us at 1 866 ONT-TAXS (1 866 668-8297).
  2. You will need your Business Number to complete the online form. If you do not have a Business Number, contact the ministry. Within 2 weeks, you will receive your two pieces of enrolment information (Web Access Code and PIN) by mail separately. You will need the Web Access Code and PIN to proceed to step two.
  3. Register for ONe-key.
  4. Enrol for ONT-TAXS online.
  5. Create your Profile.

Register for ONe-key

  1. Select 'New User?' from the log in screen.
  2. Enter the User ID in the 'ONe-key ID' field. This ID must be unique; it must contain 8-16 characters and be comprised of only letters, underscores and numbers.
  3. Enter and re-enter your password.
  4. Select 'Continue' once the checklist is complete.
  5. Indicate by clicking on the appropriate radio buttons for your language preference.
  6. Enter your password recovery answers. TIP: Your answers must be between 3 and 64 characters and should contain letters.
  7. Select 'Register' after you have completed the password recovery questions.
  8. Read the Terms and Conditions, enter your password and select 'I Agree'.
  9. You can print the Terms and Conditions.
  10. Select 'Continue'.
  11. Select 'ONT-TAXS online' to enrol for ONT-TAXS online.

Enrol for ONT-TAXS online

  1. After signing in to ONe-key, click on the 'ONT-TAXS online' link under "Programs for which you can enrol".
  2. Enter your Web Access Code from the letter you received from the Ministry.
  3. Select 'Next'.
  4. Enter your PIN.
  5. Enter the Business No. or Identification No. This number is printed in the letter received from the Ministry.
  6. For your security, you are required to answer a question unique to your tax account.
  7. Select 'Next'.
  8. Read the Terms and Conditions and select 'I Accept' to proceed. You can also print a copy of this.
  9. Select 'My Profile' to update your Web Profile. This step must be completed to finish the enrolment.

Create / Update your Profile

Create your Profile

  1. Screen defaults to Create Profile.
  2. Enter the following information:
    Contact Name
    Daytime Phone
    Alternate Phone
    Business E-Mail Address
    Select a Security Question from the drop-down menu
    Enter Security Answer
  3. Select 'Save'.

Update your Profile

  1. Select 'My Profile' from the Main page
  2. Select the 'Change' hyperlink.
  3. Make the appropriate changes.
  4. Select 'Save'. Changes will be updated immediately.

Change an Address

Change a mailing address:

  1. From the Main screen select 'Edit' in the Mailing Address field.
  2. Enter updated address information in the green fields:
    Address Line 1*
    Address Line 2*
    Unit Type
    Unit
    City*
    Province/State*
    Postal Code*
    Country*
  3. Select 'Next'.
  4. Select 'Yes'
  5. Select OK.

Change/Add my Business Location:

  1. From the Main screen select the Account hyperlink
  2. Select the Add/Edit link besides the Business Location Address.
  3. Enter the updated address information:
    Address Line 1*
    Address Line 2
    Unit Type
    Unit
    City*
    Province/State*
    Postal Code*
    Country*
  4. Select 'Next'
  5. Select 'Yes'
  6. Select OK.

Change / Add a Trade Name

  1. From Main screen select the Account hyperlink
  2. Select 'Edit/Add' besides Trade Name field
  3. Enter the new Trade Name in the green field. This field is mandatory.
  4. Select 'Next'.
  5. Select 'Yes' to submit your request.
  6. Select 'OK.

Change a Legal Name

  1. From the Main screen select 'Edit' in the Legal Name field.
  2. Enter the legal name.
  3. Select 'Next'
  4. Select 'Yes' to submit your request.
  5. Select OK.

Note: A representative from the Ministry may contact you for additional information.

Submit an RST Return

  1. Click on the RST account number link to go to the Financial screen.
  2. From the Financial screen, select 'File Now' from the Filing History panel.
  3. Enter the return information.
  4. Select 'Next'.
  5. ONT-TAXS online will calculate compensation and total payment due for return periods prior to March 31, 2010. To view the compensation calculation click on the 'Compensation' hyperlink.
  6. Click 'Yes'.
  7. You will receive confirmation #. If you have tax owing, you can also pay online. You will need to set up a Pre-authorize Debit Agreement in ONT-TAXS online before you can make a payment online.
  8. Select 'OK' to return to the account summary screen.

Submit an EHT Instalment Return

  1. From the main screen, click on the EHT account number link to go to the Financial screen.
  2. From the Financial screen, select the 'Instalment' hyperlink.
  3. Select the filing period (return period)
  4. Select the 'Add' action button to add the 'instalment' month.
  5. Select the month for the 'instalment' from the drop down menu in the Reporting month field.
  6. Enter the 'Reported Taxable Remuneration'.
  7. Click 'Yes' to confirm.
  8. You can make the instalment payment online. You will need to set up a Pre-authorized Debit Agreement in ONT-TAXS online before you can make a payment online.
  9. Click 'OK' to return to the Account Summary page.

Submit an EHT Return

  1. Click on the EHT account number link to go to the Financial screen.
  2. From the Financial screen, select the 'File Now' hyperlink for the taxation period.
  3. Enter the return information.
  4. The system will calculate the taxable Ontario remuneration, the tax rate and the total tax payable.
  5. If you made payments during this year, enter the total of the payments for the year.
  6. If you are required to complete Schedule 1 or Schedule 2, select the hyperlink.
  7. Select 'Next' after entering all the return information.
  8. Select 'Yes' to confirm.
  9. Select 'OK'. You can print a copy for your records.
  10. You will receive a confirmation number. If you have tax owing, you can also pay online. You will need to set up a Pre-Authorized Debit Agreement in ONT-TAXS online before you can make a payment online.

Submit an IFTA Return

  1. Click on the IFTA account number link to go to the Financial screen.
  2. From the Financial screen, select the 'File Now' hyperlink or the 'Return' hyperlink.
  3. Select the 'File Now' action button.
  4. Click on Additional Information link and enter information.
  5. Click 'Next'.
  6. Click on the 'Fuel Type' drop-down box then select.
  7. Select the 'Jurisdiction' box and enter your jurisdiction (i.e. ON for Ontario).
  8. Click on the 'Total KM' box and enter the figures.
  9. Click on the 'Tax Paid Litres' box and enter the figures. Click 'Update' link.
  10. The following screen shows the Average KPL. Click the 'Next' button.
  11. The following screen shows the computed total tax due. Click 'Next'.
  12. At the 'Acknowledge and Agreeing to Comply' screen, click on 'Yes'.
  13. The following screen provides you with a confirmation number. You can either print the return or click 'OK' to continue.

Request for IFTA Decals

  1. From the main screen, select your IFTA account.
  2. Click on the 'Return' hyperlink for December.
  3. Click on the 'Return' hyperlink beside IFTA Decal Request.
  4. Complete the IFTA Decal request form.
  5. Click on the 'Next' button.
  6. Click 'Yes' to confirm.
  7. Take note of your confirmation number.
  8. Print a copy of the Decal Request (if required) and then proceed to make a payment for the decals.

Note: Decals will not be issued until full payment has been received by the Ministry of Finance.

Renew IFTA Decals

  1. Select your 'IFTA account number'.
  2. Click on 'Return' next to the December Period.
  3. Click on the 'File Now' hyperlink next to the IFTA Decal Request.
  4. Enter the number of qualified vehicles for which you require decals.
  5. You may enter the amount being paid for the decals (this entry is optional because the system will calculate the amount automatically).
  6. At this point you may Proceed to Payment, print the return or select OK to pay later.

Amend a Return

  1. From the Main page, select the account.
  2. Select 'View Return' to view the return details.
  3. Select the 'Amend' action button to change the original figures. The fields of the return change to green to allow changes.
  4. Enter amended return figures.
  5. Click 'Yes' to confirm.
  6. You will receive a confirmation # if you have tax owing. You can also pay online.

Setup a Pre-Authorized Debit Agreement (PAD)

  1. Click on the 'My Profile' hyperlink.
  2. Select the 'Add Bank Account' action button.
  3. Select the tax account for which you would like to create a Pre-Authorized Debit (PAD) agreement.
  4. To help you identify the account, enter a nickname.
  5. Enter your bank (3 digits) and branch (5 digits) (no spaces, commas or letters). Enter your bank account number.
  6. Click on the 'Next' button.
  7. To create the PAD, you must agree to the terms and conditions by checking the box.
  8. Enter the answer to the security question you created in your Web Profile.
  9. Select “No” from the drop down box. Is this payment source originating from an account outside of Canada?
  10. Select 'Submit' to confirm your understanding and acceptance of the PAD agreement.

Delete PAD

  1. Select the bank account hyperlink to view or delete a bank account.
  2. Click on the 'Delete' action button
  3. Click on the 'Confirm' button to delete the bank account.

Note, if you or your representatives have submitted any post-dated payments using this account, these payments will be deleted.

Make a Payment

Note: You must have established a PAD before you can make a payment in ONT-TAXS online.

  1. If you have an outstanding balance, click on the 'Pay Account Balance' hyperlink.
  2. Click on the 'Make a Payment' hyperlink. It gives you the following options:
    • Account Payment: enter the payment amount and payment date.
    • Return Payment: select return period, enter payment amount and payment date.
    • Decal Payment.
    • Instalment Payment.
  3. Click on the 'Pay' hyperlink beside the return.
  4. Enter the payment amount.
  5. You can post-date your payment up to 180 days.
  6. Select 'Submit'.
  7. Select 'Yes' to authorize the Ministry of Finance to debit your account.
  8. Select 'OK'.

Submit an Instalment Payment

  1. Click on the EHT account hyperlink.
  2. Click on the 'Make a Payment' hyperlink.
  3. Choose the month by clicking on the appropriate hyperlink.
  4. Click on the 'Return Period' hyperlink for the payment.
  5. Enter the payment amount.
  6. Select the 'Submit' button.
  7. Enter your name to authorize the Ministry of Finance to debit your account.
  8. Click 'Yes' to confirm to authorize the Ministry to debit your account.
  9. Select 'OK'. You can print a copy of your payment for your records.

Submit a Payment with a Return

  1. Set up a Pre-Authorized Debit (PAD) Agreement.
  2. Select the 'File Now' hyperlink.
  3. File your return.
  4. Select 'Next' after you've entered all information.
  5. Select 'Yes'.
  6. Select 'Proceed to Payment'.
  7. The payment amount field will default to the amount owing on your return. You can change this amount. You can post-date the payment up to 180 days.
  8. Select the 'Submit' button. The Pre-Authorized Debit Agreement is displayed.
  9. Enter your name.
  10. Click 'Yes' to confirm to authorize the Ministry to debit your account.
  11. Select 'OK'. You can print a copy of your payment for your records.

Submit a Return Payment

  1. Set up a Pre-Authorized Debit (PAD) Agreement.
  2. Click on the 'Pay' hyperlink beside the period for which you would like to submit a payment.
  3. To submit a payment for a return, select the 'Return' hyperlink.
  4. Enter the amount of the payment. The payment date will default to today's date. You can pay up to 180 days in advance.
  5. Select the 'Submit' action button.
  6. Enter your name.
  7. Click 'Yes' to confirm to authorize the Ministry to debit your account.
  8. Select 'OK'. You can print a copy of your payment for your records.

Withdraw a Payment

Note: Only pending requests can be withdrawn.

  1. From the main screen, select the 'My Requests' hyperlink.
  2. Click on the pending payment request.
  3. Click on the 'Withdraw' button.
  4. The status of the request will be changed to 'withdrawn'. Select the 'Back' button to go back to the 'My Requests' screen. Notice that the status has been changed to 'Withdrawn'.

Request a Refund for the credit on the account

Note: You can only request a refund if you have a credit balance on your account.

  1. Select the 'My Requests' hyperlink
  2. Select 'Add Web Requests' action button.
  3. Select the 'Refund' hyperlink to request a refund of the overpayment of tax.
  4. The refund amount will default to the available credit. If you would like to receive only a partial refund, you can change the amount in the refund amount field.
  5. Select 'Next'.
  6. Select 'Yes' to submit your request
  7. Select 'OK'

Note: You will see that the request is in pending status on the 'My Requests' screen.
